Our client is an international consulting company with a comprehensive HR process structure and a presence in over 150 countries worldwide. Its activities include auditing, strategic consulting, finance, tax, and technology services. Every day, the company interacts with a large number of external partners: candidates, recruiters, contractors, training program providers, and auditors. High standards of operational efficiency, extensive geography, and a complex structure of interaction require continuous improvement of both internal and external processes.
The company did not have a unified solution for external HR interaction: processes were fragmented.
Key challenges:
This prompted the company to look for a tool that would allow it to transfer HR processes to a managed digital environment.
The project covered all stages: from business analysis and modeling of key processes to system launch and user training.
Our approach:
We started with process research – the Discovery stage, during which we analyzed typical interaction scenarios and identified three areas with the greatest potential impact. Based on these areas, we gathered requirements and created a clickable prototype, which allowed us to quickly agree on a vision for the future solution. After that, we moved on to phased development: we worked in iterations, with regular refinement of requirements and flexible task planning. In the process, we implemented the Time & Material approach to respond effectively to changes on the part of the customer. After completing the development, we conducted training, prepared text and video instructions, and handed over the solution to the customer’s team.
As a result of the implementation, the company received:
a tool for centralized interaction with external users;
an automated system that replaced Excel files, manual actions, and unstructured communication;
the ability to track statuses, interaction history, and avoid duplication of processes;
reducing dependence on human factors and individual employees;
scalability potential through reduced labor costs and streamlined data structure.
The HR portal transformed scattered manual actions into a single managed system and became a digital gateway between the company and the outside world.
